CONTRACT FURNITURE SCOPE OF SERVICES

The following list of services outlines the basic functions that we perform on a major furniture project.

A. DESIGN SERVICES
  1. Provide an Interior Designer as a part of our full time support staff. (Amy Mannarino, Fairmont State College.)
  2. Automation - Our design department is fully automated with AutoCAD and various manufacturers’ software and catalogues.
  3. Information Gathering - Collect all pertinent data that is relevant to an effective design process.
  4. Preliminary Design - Develop typical workstations, bracketed cost, floor plan, preliminary finish selection.
  5. Final Design - Finish specifications, final floor plan, final finish selections, and bracketed cost.
  6. Installation Documents - Show product location, power plan, elevations, installation notes on existing equipment, and site logistic information.
B. ORDER ENTRY
  1. Place all orders with manufacturers for merchandise in compliance with specifications.
  2. Coordinate between manufacturers on special finishes, customers' own materials, and other special order items. The goods shall be subject to reasonable variation from standard color, quality, and finish as allowed by customary trade quality standards.
  3. Determine staging and delivery schedule for shipping of merchandise from manufacturer.
  4. Analyze and specify shipping method for speed, economy, damage control and other factors of consideration.
C. ACKNOWLEDGMENT VERIFICATION
Check acknowledgments for accuracy in all details including quantity and type of merchandise, proper finishes and fabrics, prices, and shipping schedules.
D. PRODUCTION FOLLOW-UP
  1. Maintain close check on shipping schedules.
  2. Check correct and on-time delivery of customer’s own material.
  3. Coordinate shipping schedules between various manufacturers.
  4. Negotiate with manufacturers on required changes in shipping schedules.
E. WARRANTY INFORMATION
  1. B-K Office Supply shall honor all manufacturers’ warranties with regard to defects or faulty construction, and will use their resources to facilitate and expedite the repair or replacement of warranted products.
  2. There shall be no warranty as to the durability of any COM (customer’s own material).
  3. B-K Office Supply shall have replaced or repaired such items in a reasonable time, and whenever possible assist the owner with temporary solutions.
F. MAINTENANCE
B-K Office Supply shall consult the owner on continuing maintenance of the merchandise. Any form of maintenance contract after the warranty period expires shall be under a separate agreement.

 

G. INSTALLATION SERVICES

Receipt Of Products:
Inspect merchandise upon delivery for correctness and evidence of damage.

Warehousing Of Products:
B-K Office Supply can provide warehousing for both short term and long term needs. Pricing will be quoted when specific needs are determined.

Job Site Inspection:
B-K will inspect existing work and report any condition which will adversely affect installation. B-K will verify existing conditions such as clearances of elevators, docks, doorways, and other irregular handling problems which may adversely affect the installation.

Contractor Interface:
B-K will professionally interface with pertinent contractors as is necessary to coordinate a safe and effective installation (i.e. Electricians and flooring/carpeting installers)

Installation Scheduling:
Submit to the owner a schedule of furniture installation to facilitate scheduling the use of the loading dock and freight elevators.

Installation:
B-K Office Supply shall install all merchandise purchased by the owner in a good and workmanlike manner in accordance with accepted industry standards of installation.

Our installations duties shall include the following:

  1. Coordinate schedule for delivery and installation with the owner.
  2. Supply and schedule installation crew.
  3. Physically unpack merchandise and place it as shown on installation drawings.
  4. Perform all necessary erection and assembly of merchandise, including supplying necessary tools and hardware
  5. Exercise care during handling, assembly and installation to prevent damages to materials and finishes.
  6. On some projects, B-K will assess cost efficiency of utilizing its own installation crew or subcontracting these services through a qualified vendor. In any case, B-K will have on-site representation.
H. ADJUSTMENT AND CLEANING
Clean up of the premises including removal of trash, crates, boxes, and other shipping or packing materials and removal of debris left by B-K Office Supply installation crew.

Preparation of all merchandise for use including inspection and adjustments of all mechanical devices, touch-up and clean-up.

Make repairs to all merchandise damaged in shipment, subject to owner acceptance.
I. PREPARATION OF PUNCH LIST
After completion of each construction and/or installation phase, B-K Office Supply shall schedule a tour prior to occupancy with the owner to determine that all items are in accordance with the installation drawings.

Based on the punch list report, a schedule for repair or replacement of an item not in accordance with the installation drawings shall be submitted by B-K to the owner.

Any item which the owner and B-K mutually agree is repairable shall be repaired by B-K at no charge to the owner within thirty (30) days of actual installation for on-site repairs and within sixty (60) days of actual installation for off-site repairs, if parts are available.
J. FINAL INSPECTION
Tour project with the owner to ascertain that all damaged items, or items which do not correspond to specifications, have been repaired or replaced.

K. POST INSTALLATION
Follow up with manufacturer on any missing, damaged or incorrect items.

Place freight claims for all lost or damaged items. B-K shall submit a reorder to manufacturer for any item lost or damaged in transit. Owner shall not be liable for any cost or expense in connection with any item so reordered and B-K shall seek reimbursement for such costs and expenses solely from the freight company.

Make necessary corrections per punch list, including coordination of touch-up and repair of the work of other trades if the need for such repair is the result of action by the B-K installation crew.
